Sharing a Microsoft Teams Folder Outside the SHU Organization

Securely sharing Microsoft Teams folders with external vendors is a straightforward process that can streamline collaboration while maintaining control over your data. This guide will walk you through the steps.

How to Share a Microsoft Teams Folder to an Outside Vendor 

  1. Click on the Files tab inside your team's main channel. 
  2. Locate the folder or file you would like to share and click on the Share Arrow Icon.

  3. You will see a panel open up asking who to share the folder with. In the "Add a name, group, or email" text box, enter the outside vendor's email address 
  4. Next, click on the Gear Icon next to the "Copy Link."

  5. You will now see another panel open up for the Link Settings. You will need to click on People you choose to allow access outside the SHU Organization. (You can choose whether they can view or edit only based on your objective).
  6. Click on Apply.

  7. Now, you will click on Send. This will send an invitation email to the vendor's email address.
