How to Schedule a Microsoft Teams Meeting in the Teams Application

Schedule a Meeting

  1. Open the Microsoft Teams application on your computer.
  2. Navigate to the Calendar using the bar on the left side of the screen. 
  3. On the calendar, click the time when you wish to schedule the meeting. 
  4. In the New Meeting window, ensure that the Time Zone is set correctly for your location. 
  5. Enter a name for the meeting, for instance to identify the purpose of the meeting. 
  6. Add the attendee’s email address. 
  7. Set the date and time for the meeting. 
  8. Enter any additional information you would like to include in the meeting invitation. 
  9. Click the Send button in the upper-right corner. ​    

Start a Meeting

Starting a Meeting Immediately 

You can start a meeting at any time, even if you have not scheduled it in advance. To start a meeting immediately: 

  1. Sign into Microsoft Teams and navigate to the Calendar using the bar on the left of the screen. 
  2. Click the Meet now button in the top left corner of the Calendar screen. ​
  3. Adjust your camera and audio settings and click Join now. 
  4. Use the box at the top of the People panel to invite someone to join you. If you cannot see the People panel on the right side of the meeting window, click the Show Participants button in the control bar at the bottom of the meeting window. ​
  5. Alternately, click the More Actions button (three dots) on the control bar and select Show Meeting Details. Click the Copy Join Info button and paste that information into a message to the attendee. 

Starting a Scheduled Meeting 

When it is time to start your meeting,  

  1. Return to your Calendar in Teams and locate your event. 
  2. Click the Join button on the calendar event. ​
  3. Adjust your camera and audio settings and click Join now. 

Starting a Meeting from a Chat 

If you are already chatting in Teams with the person whom you would like to meet simply click the camera icon in the upper-right corner of the chat window. ​
