Every January, organizations that pay contractors for services above $600 in the same tax year must submit an electronic file for 1099-MISC form data (for AP Type 07) and 1099-NEC form data (for AP Type 03) to the IRS by January 31st. In addition, 1099-NEC and 1099-MISC forms must be sent to our vendor payees by that same date.
Sacred Heart is using the 3rd party vendor eFile360.com to create our formatted file, submit to IRS and CT State, as well as mailing out the 1099 forms to vendors by the deadline.
More Background: Vendor invoices and payment data are processed throughout the tax year by the Business Office Accounts Payable, in Colleague, and are exported to the Data Warehouse for streamlined reporting. A 1099 Export report has been developed to provide the data in the necessary format to upload to an outsource vendor for all tax filing related tasks. There are still some remaining manual changes that need to be made to the file, as provided by the AP Manager. These changes include manual vendor record additions for those who received gifts that are reportable (i.e. radio station prizes), as well as those with CT Entertainment Tax withheld.
2022 Tax Year and Forward
- Visit the efile360.com site by November 30th of the tax year to
- verify you have working credentials
- ensure that there are no changes to the 1099 templates - take note of the most recent template version and compare to the prior year's version; if there are changes, request IT submit changes to the team managing the reporting services, to modify the Export template
- Once final December checks have been paid,
- Run the 1099 Review report for the appropriate tax year and request any necessary corrections to be made to vendor data by Business Office Staff
- Collect information for manual creation of WSHU gifts which are reported on the 1099 form
- Run the Review report in Export mode, save to a csv file in a secure file location
- Copy and paste both the NEC and the MISC data on the Export report (separate tabs) into the eFile360 template respective tabs, stored on the Business Office share drive. *Sheet contains EIN/TIN numbers, Do not email
- Confirm that efile360.com has provided a timeframe to submit the 1099 data file (the account manager may provide a schedule by email)
- Go to efile360.com. log in to portal with credentials established by the efile360 account manager.
- Scroll to bottom of home page, click on the Help Center link (located near Terms of Service)
- Under the section Having Issues uploading your file?, click on the link "click here to Share Your File(s)".
- Choose File and Upload.
- Send an email to eFile360 account manager to notify that file was uploaded.
- Once Accepted (as notified by the account manager), AP will download the eFile360 review report which will appear as a link on the page where files are uploaded, verify the form data, then reply to the AM with approval to move forward
- AM sends a link for AP to pay invoice in order for eFile 360 to send forms/file to IRS (AP mgr will pay via PCard)
- eFile 360 prints, mails and files SHU tax data to the IRS as part of the annual service
Notes:
- Files can be corrected on the eFile360 home page - see Corrections Forms link, along with other features to manage 1099 Forms and status; verify timeframe for corrections with account manager
- eFile360 will file any state forms, for vendors for which state tax was withheld (includes CT Entertainment Tax), providing they are flagged on the Imported data file. Be sure to complete the CT Tax fields, columns AA, AB and AC prior to submission. Vendors living in states that participate in the IRS joint filing program (CS/FS) will have tax withholdings if any automatically filed to those participating states. Sacred Heart will only withhold CT entertainment tax.
- Vendors with foreign addresses should either be removed, or their address replaced with a US address - per Accounts Payable
