How to Request Emeritus Email Accounts

Faculty Emeritus

A College Dean may request that a retiring full-time faculty member (having many years of service with the university) obtain the title of "faculty emeritus" and retain their email account for life.  This needs to be approved by the Board of Trustees first.  HR will reach out to IT when it has been approved.

In addition to email for life, the faculty emeritus will receive:

  • access to library resources and be included in the daily import

Academic Dean Emeritus

The Provost (AVP) may request that a retiring dean (having many years of service with the university) obtain the title of "dean emeritus" and retain their email account for life.   This needs to be approved by the Board of Trustees first.  HR will reach out to IT when it has been approved.

In addition to email for life, the dean emeritus will receive:

  • access to library resources and be included in the daily import
  • limited door access 
  • VPN access

Senior Vice President Emeritus

The President may request that a retiring senior vice president obtain the title of "senior vice president emeritus" and retain their email account for life.  This needs to be approved by the Board of Trustees first.  HR will reach out to IT when it has been approved.

In addition to email for life, the senior vice president emeritus will receive:

  • access to library resources and be included in the daily import
  • limited door access
  • VPN access

The following steps should be taken by HR once it is official:

  • Contact the IT Factory to open a ticket for the person's email account to be changed over to emeritus email and provide the following information (and assign it to IT SECURITY):
    • Member First and Last Name
    • Department
    • College (if for faculty or academic dean)
    • Retirement Date
    • Current SHU email address

 The Factory team should then create the following tasks on the incident:

  • The first task should be created for ADMIN IT to add the person to the EMRTS campus organization in Colleague with the retirement date as his/her/their start date and no end date.
  • The second task should be created for IT SECURITY to move the faculty member's AD account to the emeritus user group (ou)
  • The task order should be created for NETOPS to do the following:
    • After the retirement date, NETOPS will add them to the appropriate !emritus-XXX listing (where XXX is the abbreviated college code). At the time of creating this article those distribution lists include:
      • !Emeritus-BUS
      • !Emeritus-CAS
      • !Emeritus-EDU
      • !Emeritus-HP
      • !Emeritus-NU
      • !Emeritus-Staff
