How to Navigate CRM Advise

Ellucian CRM Advise is a student success and advising platform designed to help improve retention, progression, and graduation rates. The system provides advisors and support staff with tools to identify at-risk students, coordinate support across departments, and deliver proactive, personalized outreach. Through early alerts, dashboards, and analytics, we can track student performance, streamline communication, and ensure that learners receive timely interventions. By integrating with Colleague and other campus technologies, CRM Advise enables a holistic view of each student’s journey, helping us build stronger, more connected support networks.

Accessing CRM Advise

  1. Navigate to https://sacredheartcrm.elluciancrmadvise.com/
  2. If prompted, select Other Organization, enter your SHU email address then select Next.
     
     
  3. You will be redirected to the SHU sign in page. Enter your SHU E-mail and password to log in to CRM Advise.
  4. If prompted, select the CRM Advise Unified View to reach the home dashboard​​​​​.​

     

Navigating Advise

Upon signing in, most users will be directed to their main dashboard. This default view will also be what gets displayed anytime the Home icon is selected. 

Overview of the Home Dashboard

  1. Left-pane menu: A navigation menu displaying commonly accessed pages within the platform.
  2. Main dashboard: Displays data based on the dashboard's configuration, e.g., the My Assigned Advisees will display student information for the Advisor's students. 
  3. Navigation toolbar: Quick access toolbar for common activities within CRM Advise; e.g., a Search function to look up student records.
  4. Change area menu: Menu for quickly changing what area of the platform you're working in; e.g., the Advisor area will display data related to that role whereas the Faculty area may contain different information for faculty users.
  5. Sub-dashboard: Data related to the dashboard's configuration will display here. This area functions as a way to display additional information related to the dashboard's configuration.

Navigation Icons for CRM Advise

In the top right corner of the system, the icons each deliver a specific function:

  1. Global Search: Provides a quick way to look up a student record.
  2. Task flow: Begins a task-based flow, such as updating a contact or pursuing a follow up opportunity. 
  3. Assistant: Displays system notifications and tasks assigned to you.
  4. Quick Add: Provides a quick add function to the record you wish to update, such as an activity (outreach), e.g., phone call or email, to the student. 
  5. Advanced Find: Creates queries/filters for advanced searching or reporting on a student, or a group of student, records. 
  6. Settings: Displays menus to configure advanced and personal settings as well as information about the platform. 
  7. Help: Accesses documentation specific to the Microsoft Dynamics 365 product. Note: Documentation accessed from this button will not contain any information about CRM Advise. Documentation about CRM Advise can be found here: Ellucian CRM Advise
  8. Ellucian Privacy Policy: Accesses Ellucian's privacy policy for the platform.
  9. User Information: Displays which Advise environment you are in, e.g., test or production, and provides logout functionality. 

Change Area Menu

The Change area menu serves as a way to quickly switch between different areas in CRM Advise. The menu will appear different from user to user since the options in the menu are based on the user's role at the institution.

The Change area menu can be found in the bottom-left hand corner of your screen. Select it to pull up a list of available options.

 

  1. Advisors - Provides access to the Advisors area.
  2. Faculty - Provides access to the Faculty area.
  3. Managers - Provides access to Managers area which also contains a reporting section using Delivered Reports from Microsoft.
  4. Case Managers - Provides access to the Case Manager area where Cases, i.e., sensitive alerts, are managed.
  5. Communications - Provides access to the Communication area where communication plans are managed.
  6. Success Engine - Main area where the logic of the platform is built, e.g., alert/indicator rules, scoring plans, etc. 
  7. Integration - Technical area  
  8. Settings - Technical area 

Left-pane Menu

The Left-pane menu serves as an additional way to quickly navigate through the CRM Advise platform. The pane can be expanded or contracted by selecting the three lines button (1). You can also use the Home button (2) to return to their default view. The Recent list (3) will display recently accessed screens. Any pinned screens will display in the Pinned list (4).

 

Main Dashboard

 

The central area of CRM Advise contains your main dashboard view. In this area, you can change the dashboard currently being displayed by selecting one of the dashboards from a drop down menu (1) and drill into them by double-clicking a record individually (2) or selecting the option to display all records (3).

Alerts

The alerts area in the main dashboard view will display alerts assigned to you. These alerts are based on logic that would have been previously set up for things like scoring plans, alert rules, etc. and once those conditions are met, are automatically assigned to the appropriate user. Please note that the color of the alert will also indicate the serverity or urgency of the alert, i.e., Low - Green, Medium - Yellow, High - Red.

Select an alert to view more details about it or you can select the Alerts button from the left-pane menu to view all your assigned alerts from the Alerts area.

My Activities

The My Activities area in the main dashboard view will display activities assigned to you. You can also use the drop down list to filter through completed or past due activities as well.

 

My Students

The My Students area contains all of the student records that you have access to. 

Selecting a student record will display additional details about the student and various options to interact with the record.
