Adding a Shared Email in Outlook

This article will walk you through the process of adding a shared department or program email in Outlook.

Prerequisites

  • Before proceeding, make sure that you are assigned access to the mailbox. The program coordinator or a system administrator should be able to verify this for you.
    • If you have not been assigned access to the mailbox, your supervisor will need to reach out to the IT Service Desk with permission for you to access the mailbox and specification of access, such as read only or read/write access.

How to Add a Shared Email to Outlook

After the access has been granted, the shared email box should appear in your Outlook Desktop application in the left pane or in the Shared with Me folder within your personal mailbox. If you do not see the shared email box 12 hours after the access was granted, follow the steps below to open it manually.

Windows

Classic

  1. In the Outlook application, click File.
  2. Click Account Settings and then click on the second Account Settings option.
  3. Under the Email tab, click New.
  4. Enter the email address you need access to in the window that pops up.
  5. Click Connect.

New

  1. In the new version of Outlook, right-click on your email address on the left-hand side.
  2. Click Add shared folder or mailbox.
  3. Type in the email address you wish to add and click Add.

Mac

  1. Click on Tools on the menu bar at the top of the screen.
  2. Click on Accounts.
  3. Click the on the bottom left of the Accounts window.
  4. Click on Open Shared Mailbox.
  5. Search for the email you need to add in the search bar. Click on the correct email address when it pops up.
  6. Click Add.
  7. Close out of the Accounts menu. The email address will now appear in your Outlook application.

Web Client

  1. Go to outlook.office.com.
  2. Log in with your SHU email.
  3. Right-click on Folders and then click on Add shared folder or mailbox.
  4. Type in the email address you have been given access to.
  5. Click Add.

How to Send From Delegate Mailbox

The first time you need to send from the delegate mailbox, you will want to change your settings using the steps below.

Note: Your draft emails will always save in your personal mailbox's Drafts folder. This cannot be changed.

Note: When you are replying to an email, it will automatically set From as the email that received the message. To change it, click From and select the correct email from the drop-down.

Windows

Classic

  1. Start a New mail.
  2. Select Options tab within the new email window.
  3. Check the Show From option.
  4. Your new emails will now show the From field when composing the message.
  5. Click on From button and enter the delegate email.
  6. For any subsequent emails, make sure to click the From button and select the account you want to use from the list.

New

  1. Click on the Settings gear in the top right corner.
  2. Select Mail.
  3. Select Compose and Reply.
  4. Check the Always show From option.
  5. Start a New mail.
  6. Click From:[email] and select Other email address...
  7. In the cleared field, type in the delegate email.
  8. For any subsequent emails, click on the From:[email] and select the email you would like to use from the list.

Mac

  1. Start New mail.
  2. Click on the drop-down within the From field.
  3. Click Other email address...
  4. Enter the delegate email.
  5. For any subsequent emails, click on the drop-down with the From field and select the email you would like to use from the list.

Web Client

  1. Click on the Settings gear in the top right corner.
  2. Select Mail.
  3. Select Compose and Reply.
