How to Correct FNU and LNU Names in Colleague

Not all international applicants enter a first and last name on their application or have both on their passport​.  In those cases, it appears as FNU (First Name Unknown) or LNU (Last Name Unknown).  If the correct splitting of the person's name into first and last name values does not occur before the applicant record imports to the student system, their network username (DMIUsername) will contain either FNU or LNU.  Once this occurs, manual work must occur on multiple systems.

Scenario #1

The splitting of the name into first and last is determined by someone in Admissions before the application status is changed to Accepted in the Admissions system

  • Admissions staff updates Admissions system​ (Slate)

Scenario #2

The splitting of the name into first and last does not occur before the status is changed to Accepted in the Admissions system and the student has not activated their network account

  • <person> updates Admissions system (Slate)
  • <person> updates Student system  (Colleague)
  • <person> opens a ticket with the Factory to have the network username and reserved email address changed for the future student
  • Admin IT staff work to change over network username and reserved email address
  • Admin IT staff closes ticket which sends response to <person> who opened it so they know that the change has taken place

Scenario #3

The splitting of the name into first and last does not occur before the status is changed to Accepted in the Admissions software and the student has activated their network account

  • <person> updates Admissions system
  • <person> updates Student system
  • <person> opens a ticket with the Factory​​ to have the network username and email address changed for the future student
  • Admin IT staff work with Email Administrator to manually change over the email account
  • Admin IT staff closes ticket which sends response to <person> who opened it so he/she knows that the change occurred
  • <person> contacts student to let them know of username and email address change
