How to Fix Courses Showing as IN PROG on Transcript that Should Not

Summary

If a course is showing as IN PROG on a transcript in a term that the student is not currently registered there are a few things that need to be checked and fixed. This will typically only happen when a student has been transcripted for a course that they are later approved to be removed from the course.

This article also shows how to reactivate a student program or how to remove the active status of a student program if needed.

Fixing the IN PROG Course

  1. Log in to Colleague and go to RGCS - Registration Changes
  2. Pull up the student on RGCS and locate the course that you need to fix and double click to bring it up on RGCS
  3. Change the Status/Date to be X and the date to be one day prior to the start of the term in which the course was held
  4. Remove the Drop Grade/Exp Date 
  5. Remove the Last Attended Date if there is one
  6. Remove the Never Attended flag if it's populated
  7. Save out of the RGCS screen
  8. Run the student's transcript to confirm that the course is no longer appearing incorrectly on the transcript

If the student has already graduated or is not an active student, you will need to reactivate the student record first by reactivating the student program following the below steps.  If the student has not graduated or is still active, you do not need to proceed with the next steps

Reactivating Student Program - If Needed

To reactivate the student program:

  1. Go to SACP - Student Academic Program and look up the student record
  2. Find the student's program you want to reactivate and double click it to bring it up on SACP
  3. Detail in on the Status/Date/Opr line to SPSH - Student Program Status Hist
  4. Insert an Active status with a date that is after the most recent status date
  5. Remove the End Date in the lower half of the screen and save out of the record
  6. Complete the first set of instructions to fix the IN PROG course

Removing the Active Status on the Student Program After Fixing - If Needed

To remove the Active status for the student program after the transcript has been fixed:

  1. Go to SACP - Student Academic program and look up the student record
  2. Find the student's program you previously reactivated and double click it to bring it up on SACP
  3. Detail in on the Status/Date/OPR line to SPSH - Student Program Status List
  4. Click on the number 1 next to the Active status you inserted earlier and click Delete to delete the active status, it will prompt you to delete twice.  Make sure you are deleting the Active status/date you entered in the previous step and NOT the original active status of the program.
  5. Re-enter the end date that you removed in the previous step, the end date should align with the most current status date (for example G - Graduated, C - Changed, W - Withdrawn, etc.)
  6. Save and update out of the student program record
