There are times when an email address either needs to be added or updated in Colleague. Follow the appropriate steps below.

Adding Email Addresses

  1. In Colleague, go to ODEM (Online Demographic) screen
  2. Search for the person whose email address needs to be added by entering either the person ID (7 digit number) or name (LastName, FirstName OR FirstName LastName) in the Person LookUp dialog box
  3. If the appropriate E-mail Type is not already listed, go to the first blank row and select the appropriate E-Mail Type from the drop-down menu. 
    • If the E-mail Type is already listed, go to the Updating Email Address instructions below
  4. The cursor will automatically move to the Address(es) field, type or paste the email address
  5. Click "Save All"

Updating Email Addresses

  1. In Colleague, go to ODEM (Online Demographic) screen
  2. Search for the person whose email address needs to be updated by entering either the person ID (7 digit number) or name (LastName, FirstName OR FirstName LastName) in the Person LookUp dialog box
  3. Go the row with the appropriate E-Mail Type, then type or paste the new email address in the Address(es) field
  4. Click "Save All"

Notes

  • The SHU E-Mail Address type should always be designated as the Preferred one
  • Only one email address per email type can be designated
