How to Run Batch Grade Change in Colleague

When you want to batch change grades, most commonly Incomplete or Incomplete Extension to Failing follow the instructions below based on the scenario you wish to change.  It is important to note that this process will only update correctly when the course is either all letter grade or all Pass/No Pass course.  If an individual student chooses Pass/No Pass for a course that is graded with letter grades, the course will be updated according to the first section Changing letter grade to a letter grade and the F will need to be manually updated to No Pass.

Scenario A - Changing a letter grade to a letter grade

  1. Log in to Colleague
  2. Access the BGCU - Batch Grade Change Update screen
  3. Enter the grading scheme (this will correspond to the academic level)
    1. For undergraduate enter SHUG 
    2. For graduate enter SHGR
  4. Enter the grade you are changing in the Original Grade 
    1. Typically I for Incomplete or IX for Incomplete Extension
  5. Enter the grade you are changing to in the Replacement Grade 
    1. Typically F for Fail
  6. Enter the term codes for the terms you want to update in the Terms field (ex: 22/FA)
    1. NOTE: Each individual term you want to update must be included:  ex: 22/FA, 22/F1. 22/F2, 22/M1 and 22/M2
  7. Enter all courses that are not letter grade courses in the Courses Excl field 
    1. For example LLC-100, LLC-200, LLC-300, FYE-099 to exclude them from being updated
  8. Click Save and Update

Scenario B - Changing a letter grade to a no pass grade

  1. Log in to Colleague
  2. Access the BGCU - Batch Grade Change Update screen
  3. Enter the grading scheme 
    1. For undergraduate enter SHUG
    2. For graduate enter SHGR
  4. Enter the grade you are changing in the Original Grade 
    1. Typically I for Incomplete or IX for Incomplete Extension
  5. Enter the grde you are changing to in the Replacement Grade 
    1. Typically NP for No Pass
  6. Enter the term codes for the terms you want to update in the Terms field (ex: 22/FA)
    1. Note: Each individual term you want to update must be included:  ex: 22/FA, 22/F1. 22/F2, 22/M1 and 22/M2
  7. Enter all the courses that are not letter grade courses in the Courses Incl field 
    1. For example LLC-100, LLC-200, LLC-300, FYE-099 to include them to be updated
  8. Click Save and Update
