How to Remove a Grade Already Transcripted in Colleague
Summary
If there is ever a case where a student was incorrectly registered for a course or needs to be removed from a course after it's already been graded as if it had been dropped, the following steps need to be completed.
Body
Removing a Grade Already Transcripted
- Log into Colleague
- Go to STAC, find the course you need to remove the student from and detail in to SACD
- Change the status and status date of the course (use D if you want it to appear as if the course was dropped during Add/Drop, use X if you want it to appear it was dropped before the start of the term and the date should correspond to the timeframe of the status)
- Delete the grade from the Grade Scheme/Grade line (leave the grade scheme)
- At the prompt "This change will force a recalculation of affected records." click OK and the Grade Pts and GPA fields will all blank out
- Save and Update out of SACD and STAC
- Go to RGCS and pull up the student record
- Find the course you just updated on STAC and double click on that course to open it
- Change the status and date to the status and date you entered on STAC if they do not match
- Delete the value(s) in Drop Grade/Exp Date (there may not be a value in Exp Date that is ok,, if that's the case just delete the Drop Grade)
- Save and Update out of RGCS
- Run the transcript again to be sure that the course no longer shows with IN PROG. (it shouldn't show at all at this point)
- Run the Degree Audit to be sure that the course no longer shows
