How to Update Applications in Colleague

There are times when Slate and Colleague are out of sync and manual updates must be performed. Several reports show mismatched data.

There are times when Slate and Colleague are out of sync and manual updates must be performed. 

Several reports show mismatched data, for example:

  • Slate - Colleague Application Data Mismatch integrity check Report (emailed daily)
    • International Admissions
    • Undergraduate Admissions
    • Graduate International
    • Graduate Domestic

App Status Mismatch

If the Admissions Value (Slate) displays AR (Admit) and the Colleague Value displays DEP (Deposit), it is probably a timing issue, so just ignore and wait to see if it gets resolved on its own when the interfaces run

If the Admissions Value (Slate) displays DEP (Deposit) and the Colleague Value displays AR (Admit), then the missing Deposit status needs to be added by doing the following:

Manually Update Colleague

  1. In Colleague go to APPN (Application)
  2. ​​Search for the applicant in the Applicant LookUp dialog box by either person ID (7-digit number) or name (LastName, FirstName OR FirstName LastName) 

  3. Select the Program - Click on record for later term (If record shows SP24 and Fall24 click on Fall24) (will say accepted on the record)

  4. Detail in on Application Status
  5. If the Deposit status is missing:
    1. In the status column, go to an empty row that is blank and enter DEP for deposit
    2. Change the date to the same date as the AR Accept field
    3. Then change the time to after the time listed in the AR Accept Field (so that is sorts the statuses in the correct order)
  6. If the Deposit Status appears below the Accepted Status:
    1. Change the date and time for the Deposit Status so that is is after the Accepted Status date
  7. Click save to exit screen, then review the application status field to make sure the deposit field is listed first
    1. If it is not, go back in and make sure the DEP time is after the AR field time
  8. Save All

Rerun in Slate

  • Take it out of the run in Slate so that it gets picked up during the next run and then the status will get updated automatically

Acad Program Mismatch

Updates will be performed by Admissions staff.

Home Email Mismatch

These mismatches are no longer being fixed, and can be ignored.

Student Type Mismatch

Updates will be performed by Admissions staff.
