​How to Reserve Conference Rooms on Third Floor of West Building

To Book a Conference Room

  1. Open a new or existing meeting in Outlook Calendar. 
  2. Go to the Scheduling Tab, do not enter anything in the Location field
  3. Invite the Room to your meeting using any one of the following methods:
    1. From the menu click "Add Rooms", double-click the desired room, and click "OK"
    2. In the Required section, type the Room Name/Number of the desired room, if a drop down appears, choose the desired room
    3. Click the “Required” button and enter all or part of the room name in the Search box. Choose “Global Address List” from the Address Book dropdown menu, then click the arrow next to the search box. Highlight the name of the desired room and click “Required,” then “OK.” 
  4. Check the availability of the room, if it is not available, pick another room.
  5. Complete the meeting invitation as you normally would adding, title, participants, time, etc. The room name should automatically appear on the Location line under the Meeting tab. 
  6. Click “Send.” You should receive an email approving or denying your request. Note that if you are scheduling a recurring meeting, Outlook will show your meeting as "tentative" if there are any conflicts over the course of the series.  You may not be notified of this.  If a meeting is listed as "tentative" the system may allow others to book during that time.
