Alerts in CRM Advise serve as an early notification system to identify students who may need support. They allow faculty, staff, and students to raise concerns related to academic progress, engagement, wellness, financial challenges, or other barriers to success. Alerts centralize these concerns within the student’s full record, ensuring visibility across appropriate support teams and promoting coordinated intervention.
Importance of Timely Alert Management
Managing alerts promptly is critical to student retention and success. Timely review and follow-up:
- Enables early intervention before issues escalate.
- Demonstrates institutional care and responsiveness.
- Improves communication and coordination among support offices.
- Helps remove barriers that may impact persistence.
- Maintains accurate documentation within the student’s record.
Managing Alerts in CRM Advise
Reviewing the Alerts
- Navigate to https://sacredhearcrm.elluciancrmadvise.com/. If prompted select Other Organization and enter your SHU e-mail and password.
- On the left-hand side of the system navigation, select Alerts.
- The default view is Open Alerts Owned by Me or My Team and a list of alerts that need action by yourself, or someone on your team will appear.
- Select the Subject of the alert to open it. Review the details of the alert to better understand the request for assistance.
- Under Timeline select the + sign in the right-hand corner to add a note. This note could contain progress made toward supporting the student, interactions that have occurred or any other important information.
- Under the Activities tab, you can send an email to the student regarding the open alert or log any phone calls that have taken place.
Notes, emails and phone calls logged are visible by any user that has access to that student record.
- Under the Private Notes tab, you can record any personal connection notes with the student.
While these notes are only visible by you and Advise system administrators, they are still apart of the student record and can be requested by the student.
Closing an Alert
- Navigate to https://sacredhearcrm.elluciancrmadvise.com/. If prompted select Other Organization and enter your SHU e-mail and password.
- On the left-hand side of the system navigation, select Alerts.
- The default view is Open Alerts Owned by Me or My Team and a list of alerts that need action by yourself, or someone on your team will appear.
- Select the Subject of the alert to open it. Review the details of the alert to better understand the request for assistance.
- Ensure all notes, communications and activities are properly documented.
- Update the Closure Reasons field with the appropriate action taken, and add notes to the Resolution Summary.
- In the top navigation, select Mark Complete.
- The alert will disappear from the list. If you would like to review it, you can select the drop down next to Open Alerts Owned by Me or My Team and select Closed Alerts Owned by Me or My Team.
