How to Manage E-Mails in CRM Advise

Emails in CRM Advise are used to communicate directly with students regarding outreach, support services, reminders, and follow-up related to alerts, requests for assistance or support. The system enables targeted, timely messaging to ensure students receive important information and guidance when it matters most.

Purpose of Tracking Communications

Tracking communications within CRM Advise ensures that all outreach is documented in the student’s full record. This allows support staff to:

  • View a complete history of interactions in one place.
  • Coordinate efforts across departments.
  • Avoid duplicate or conflicting outreach.
  • Monitor responsiveness and engagement.
  • Maintain accurate records for retention reporting and case management.

Centralized email tracking supports transparency, collaboration, and a consistent, student-centered approach to communication.

Managing E-Mails in CRM Advise

Sending an E-Mail within Advise to the Student

  1. Navigate to https://sacredhearcrm.elluciancrmadvise.com/. If prompted select Other Organization and enter your SHU e-mail and password.
  2. In the top right corner of the system navigation, select the + sign icon. 
  3. Select Activities. 
  4. Select E-mail
  5. In the To field, begin typing the name of the student you are looking to e-mail. 
  6. In the Subject field, enter the subject of the email. 
  7. In the Large textbox field enter the body of the email. 
  8. At the bottom, be sure to enter the students name again in the regarding field. This will ensure the email appears on the student record in advise and is properly logged. 
  9. At the top of the email navigation, select Send to send your email. If you need additional time, you can also choose to Save the email and come back to it. 

Sending an E-mail within Advise Regarding the Student

Not all email communications will go to the student directly. There may be times where you need to contact another support member regarding the student. CRM Advise supports this business case. 

  1. Navigate to https://sacredhearcrm.elluciancrmadvise.com/. If prompted select Other Organization and enter your SHU e-mail and password.
  2. In the top right corner of the system navigation, select the + sign icon. 
  3. Select Activities. 
  4. Select E-mail
  5. In the To field, begin typing the name of the individual you are looking to e-mail regarding the student. This could be a support staff, advisor, athletic coach, organization president, etc. 
  6. In the Subject field, enter the subject of the email. 
  7. In the Large textbox field enter the body of the email. 
  8. At the bottom, be sure to enter the students name again in the regarding field. This will ensure the email appears on the student record in advise and is properly logged.
  9. At the top of the email navigation, select Send to send your email. If you need additional time, you can also choose to Save the email and come back to it. 

Review E-mails Sent to Students 

  1. Navigate to https://sacredhearcrm.elluciancrmadvise.com/. If prompted select Other Organization and enter your SHU e-mail and password.
  2. In the top right corner of the system navigation, select the magnifying glass and search for the student by typing their name or ID number.
  3. Select the student record. Be sure you are on the SHU Student Form. 
  4. Select the Outreach tab
  5. Scroll to E-mail Log and you will see a list of e-mails that have been sent to or are regarding the student.
