Follow this process to create the new catalog year and copy over the previous year so that you do not need to add the requirements for the new year to all active programs.
Create New Catalog
- Log in to Colleague
- Go to CTLG (Catalogs)
- At the Catalog LookUp prompt, enter the year you want to create (example 2024)
- Click Add
- In the Description field, enter YYYY Catalog Year (where YYYY is the year you are creating, for example, 2024 Catalog Year)
- In the Start Term field, enter the Fall term that corresponds with the academic year as the start term (example 24/FA)
- Change the Start Date to 08/15/YYYY (where YYYY is the year you are creating)
- Click Save and Update
Copy Old Catalog to New Catalog
- Go to CATC (Catalog Copy)
- In the From Catalog filed, enter the previous year
- In the To Catalog field, enter the catalog year you just created
- In the Include Track field, enter Yes
- In the Overwrite Existing Program Requirements? field enter No
- If there are programs that should not be moved over to the new year, you can enter them in the Academic Programs Excl section (you can choose to copy over the ones you want to include however, that list is likely to be a lot longer)
- Click Save and Update
After this process has been completed, you can check a couple of programs on PROG to make sure the catalog year is there, as well as check any of the programs you had excluded to confirm that the catalog year did not populate into the exclusions. At this point, you can make any changes to the requirements for the programs in the new catalog year.
