How to Maintain Report Years and Terms in Colleague

For SPA, and other systems including PowerFAIDs, to have the appropriate terms available, four years of terms into the future need to be set up.

Reporting Years and Terms (RYAT)

  1. Go to RYAT (Reporting Years and Terms)
  2. At the Enter Reporting Year prompt, enter the reporting year ex: 2023
  3. For each individual term, fill in the following fields:
    • Terms - enter the term in the YY/TT format (ex: 24/SP)
    • Description - enter the description in the Term Year format (ex: Spring 2024)
    • Start Date - enter the start date (enter an approximate date if the actual date is not yet available)
    • End Date - enter the end date (enter an approximate date if the actual date is not yet available)
    • Act Seq - automatically calculated, no entry required
    • Detail on the term to the ACTM screen and follow the instructions below
  4. Click Save and Update

Academic Term (ACTM)

  1. From the RYAT (Reporting Years and Terms) screen detail on each individual term
  2. For each individual term, fill in the following fields:
    • Start Date - enter the start date (enter an approximate date if the actual date is not yet available)
    • End Date - enter the end date (enter an approximate date if the actual date is not yet available)
    • Description - enter the description in the Term Year format (ex: Spring 2024)
    • Report Term - enter the reporting term (ex: 24/SP)
    • Session - This is the code for whatever individual term (ie:  FA, F1, F2, M1, M2 etc.)
    • Prereg Dates - Enter a date in the past so that nobody is able to register (needed since we do not use pre-registration period)
    • Reg Dates - Enter the start date as the date registration will open and the end date should be 1 day before the start date of the term
    • Add Dates - Enter the start date as the date the term starts and the end date as the official end of add/drop
    • Drop Dates - Enter the start date as the date the term starts and the end date as the last day to withdraw
    • Drop Grades Required - Enter the day after the Add period ends so that anyone dropping after that date will get a W
    • Census Dates - Position 1 should be 1 day before the end of add/drop.  Position 2 only needs to be populated for Fall and Spring and should be 10/1/YYYY where YYYY is the year the term falls in for Fall and  3/1/YYYY for Spring
    • PF POE - PowerFAIDS period of enrollments for each term can be obtained from Student Financial Assistance, currently Shannon Sarver
    • BBEXP - should be populated with a Y when the Blackboard Administrators request that the term begin being exported to BB
    • Default on New Course Plans should be flagged Yes for only those terms that should default to a student's plan in SPA, currently only FA, SP, SS and SU2, the others should not default on new course plans
    • Housing Dates should be obtained from Res Life
    • Billing Dates - Start date can be left blank, end date should be 11/1 of the following academic year.  (For example 24/FA should have a billing end date of 11/1/2025 as would each term that falls in Academic Year 2024.)
    • Registration Rules should include the advisor permission needed rule that corresponds with the term. (For example 24/FA would have ADVPTRFA with a start date of whenever registration opens for that term and end date should be near the end of the term)
    • Click Save and Update and then Save and Update again out of RYAT
