Incoming freshmen applicants may change Residency status due to the decision to become a commuter, withdraw from SHU, or defer to a future term. Information is needed regarding incoming transfer applicants.
UG Admissions codes an incoming student with a housing status of Resident or Commuter.
Current Process (starting with Fall 2023 assignments)
When the student is classified as a resident, they are updated to Colleague and StarRez. Bulk Edit in StarRez to assign placeholder housing (for billing purposes) to the student until the real assignment is coded.
Previous Process (Housing Director)
When the student is classified as a resident, he/she is updated to Colleague and Housing Director. There is an interface that assigns dummy housing (for billing purposes) to the student until the real assignment is coded.
Resident Status Change Impacts
- before placeholder housing is assigned, nothing needs to be done
- once placeholder housing has been assigned (early May), the placeholder assignment booking must be cancelled
- once the actual housing assignment has been done (early July), the actual housing assignment booking must be cancelled
Applicant Changes from Resident to Commuter
- If UG Admissions staff is notified of the change
- they update Slate to change their housing status to commuter
- they notify Student Accounts to have billing updated
- they notify Res Life to
- cancel the booking in StarRez which will update Colleague
- If Residential Life staff is notified of the change
- ​they inform UG Admissions to follow the process above
Applicant Withdrawls
- If UG Admissions staff is notified of the withdrawal
- they change the Decision Status to Withdrawn Deposit in Slate
- Res Life receives the report and cancels the booking in StarRez which will update Colleague
Applicant Defers
- If UG Admissions staff is notified of the deferral
- they change the Decision Status to Deferred in Slate
- Res Life receives the report and cancels the booking in StarRez which will update Colleague
