How to Batch Verify Final Grades in Colleague

Batch grade verification is done any time final grades need to be verified for students to see them in SPA or on their transcript.  Batch verification will be done 48 hours after each semester/trimester ends but will also be run periodically when withdrawal grades need to be verified.  The first part will explain how to batch verify the grades, the second part will explain how to batch verify grades for withdrawals:

Batch Updating All Grades

  1. Log in to Colleague
  2. Go to the BGVU - Batch Grade Verification Screen
  3. In the Terms field, enter all of the terms you want to include
  4. In the Academic Levels field, enter the academic levels you want to include 
    • Note if verifying all course sections you can leave this blank
  5. If you have any Courses, Course Sections, Departments, Subjects you want to include or exclude, you can enter them in the corresponding Incl or Excl fields
  6. Once you have your included or excluded criteria, you can click Save and Update
  7. Click Save and Update again

Batch Updating W Grades Only

  1. Log in to Colleague
  2. Go to the BGVU - Batch Grade Verification Screen
  3. In the Terms field, enter all of the terms you want to include
  4. In the Academic Levels, enter the academic levels you want to include
    • Note if verifying all course sections you can leave this blank
  5. If you have any Courses, Course Sections, Departments, Subjects you want to include or exclude, you can enter them in the corresponding Incl or Excl fields
  6. In the Addnl Select Criteria, enter Y, then click Save and Update
  • On the Additional Select Criteria screen for BGVU enter the following:
    • On the first line Connective, click the dropdown and choose WITH - and WITH
    • In the Field Name, enter STC.FINAL.GRADE
    • In the Relation click the dropdown and choose EQ - Equal to
    • In the Parameter field, enter "43"
    • On the second line Connective, click the dropdown and choose OR - Or WITH
    • In the field Name, enter STC.FINAL.GRADE
    • In the Relation click the dropdown and choose EQ - Equal to
    • In the Parameter field, enter "65"
  • Click Save and Update
  • Click Save and Update again
