How to Manage Waitlisted Course Sections in Colleague

During registration, course sections fill up quickly and often go into waitlists.  Waitlists are monitored and managed by each subject area's department.  To manage your waitlists, there is a Reporting Services report you will want to run first.  Then you can manage the waitlists within Colleague if you need to give someone permission to register.  **Note:  When you do give permission to register, the student has 4 calendar days to take action and register.  If the student does not take action, you will need to go in and revoke permission from that student before giving the next student the chance to register. 

When there is a waitlist for a course and a student or students who were initially able to register for a course but decide to drop the course may make it appear that there are seats available however if there are students on the waitlist, they will take precedence over new students attempting to register so you will need to continue to monitor the waitlists.

Managing Waitlisted Course Sections

  1. First, run the report in Reporting Services:  Wait List Courses
  2. Review the report and identify student(s) you want to allow permission to register for the course section
  3. Log into Colleague
  4. Go to CWLM (Course Waitlist Management) or SWLM (Section Waitlist Management
    1. Note: CWLM may show active waitlists in multiple terms
  5. Find the student on the current waitlist that you want to give permission
    1. you may need to use the scroll bar that appears underneath the screen name and description if the student does not show on the first page
  6. Click the dropdown arrow in the Stat column
  7. Manage the waitlist status by changing the status as follows:
    1. P - Permission to Register, if you want to grant the student permission to register
    2. D - Dropped, if the student does not take action within 4 calendar days, you have the option of choosing to drop the student from the waitlist
    3. X - Expired to indicate permission has expired 
    4. A - Active to put the student back on the active waitlist
    5. Never choose E - Enrolled, the student should enroll in the course or drop themselves from the waitlist by taking action in SPA.
