How to Manage Subjects in Colleague

You may need to add, update, or inactivate a subject in Colleague. Follow the steps below for the procedure.

Adding a New Subject

  1. Log in to Colleague
  2. Go to the SUBJ screen
  3. At the Subject Lookup prompt, enter the subject code you wish to use to confirm it is not currently in use.
  4. Note, that subject codes are limited to a maximum of 7 characters.
  5. Note, if the code is already there with another subject, you cannot reuse the code and change the Description as there is history in Colleague.  Choose another code and try again.
  6. Once you enter a code that is not in use already, at the Record not found -- Reenter or Add prompt click Add
  7. Enter the description of the subject
  8. If you want the subject to display in Self-Service Catalog (SPA Course Catalog) enter Yes if it has not already defaulted in as Yes or No if you do not want it in the catalog
  9. Click Save and Update
  10. Go to WSRP and enter the new subject code in the Subjects field so that it is searchable in Self-Service (SPA)
  11. Note, that you do not need to insert it alphabetically, you can go to the next available blank line and add the code, when you save out, it will automatically alphabetize the code properly in the list.
  12. Save and Update out of WSRP
  13. Note, that it will take time (typically overnight) for SPA to recycle and the new code to appear in the list.  If you need the code to appear immediately, notify Admin IT as the servers will need to be recycled one at a time so we don't bring SPA down completely.

Updating a Subject

  1. Log in to Colleague
  2. Go to the SUBJ screen
  3. Enter the subject code you want to maintain at the Subject Lookup prompt
  4. If you are changing the description, do so.  If the subject is not on Self Service (SPA) change the flag to Yes or if you no longer want the subject to show in Self Service (SPA) change the flag to No.
  5. Save and Update.

Inactivating a Subject

  1. Log in to Colleague
  2. Go to the SUBJ screen
  3. Change the Display in Self-Service Catalog to No so that the subject is no longer available in Self-Service Catalog (SPA)
  4. Go to WSRP and remove the subject code from the Subjects field by clicking on the number to the left of the subject and when prompted with Select Table Operation to Perform for Row #, click Delete.
  5. Click Save and Update
  6. Note, that it will take time (typically overnight) for SPA to recycle and the code to disappear from the list.  If you need the code to be removed immediately, notify Admin IT as the servers will need to be recycled one at a time so we don't bring SPA down completely.

Update Curriculum Strategy

  1. Contact Watermark support to maintain the subject list in Curriculum Strategy by emailing support@watermarkinsights.com to have a new subject added or an inactivated subject removed in the Curriculum Management module
  2. Remind the users who are maintaining the subject to add/remove courses accordingly in the new catalog
