How to Remove a Grade Already Transcripted in Colleague

Removing a Grade Already Transcripted

  1. Log into Colleague
  2. Go to STAC, find the course you need to remove the student from and detail in to SACD
  3. Change the status and status date of the course (use D if you want it to appear as if the course was dropped during Add/Drop, use X if you want it to appear it was dropped before the start of the term and the date should correspond to the timeframe of the status)
  4. Delete the grade from the Grade Scheme/Grade line (leave the grade scheme)
  5. At the prompt "This change will force a recalculation of affected records." click OK and the Grade Pts and GPA fields will all blank out
  6. Save and Update out of SACD and STAC
  7. Go to RGCS and pull up the student record
  8. Find the course you just updated on STAC and double click on that course to open it
  9. Change the status and date to the status and date you entered on STAC if they do not match
  10. Delete the value(s) in Drop Grade/Exp Date (there may not be a value in Exp Date that is ok,, if that's the case just delete the Drop Grade)
  11. Save and Update out of RGCS
  12. Run the transcript again to be sure that the course no longer shows with IN PROG. (it shouldn't show at all at this point)
  13. Run the Degree Audit to be sure that the course no longer shows
