How to Access and Troubleshoot the Budget Inquiry Report

The Budget Inquiry report is available in the Budget Inquiry Users folder in Reporting Services. Faculty and staff who have been approved and granted access to one or more accounts are authorized to view the operating income and expenses of approved GL accounts through this report.

Access

When on-campus use this link: https://reports.sacredheart.edu.

When off-campus follow the instructions here: 

  • Budget Inquiry through Reporting Services is only available to you while you are on network resources.  If you are off-campus, you will need to either:
    • log in to Secure Desktop (if you have access to it)
    • connect to Sacred Heart’s network via Global Protect/VPN
  • Then you will be able to access the Budget Inquiry Report.
  • For technical assistance, contact The Factory.

Report Questions (for users)

Users (including budget managers) who have any questions about the information on the report (examples below), should contact the Business Office directly at BusinessOffice@sacredheart.edu

  • transaction amount
  • account balance
  • encumbrance
  • missing transaction

Troubleshooting Questions (for Business Office staff)

Encumbrance Question

Business Office staff should follow these steps:

  • Review the Blanket/Purchase Order encumbrance amounts in SHU eBuy (refer to the History tab on the B/PO)
  • Compare to transactions in Colleague on these screens: AHST (GL Account History Inquiry)/ENCI (GL Encumbrance Inquiry) and BINQ (Blanket PO Inquiry) or PINQ (Purchase Order Inquiry)
  • If the balances on ENCI don't match BINQ or PINQ and they don't match the history transactions in SHU eBuy, then submit a request to the accounting team to review and create individual GLEEs, or a GLIM file (EP source code), for transactions with the appropriate debits and credits
    • Be sure to use the same GL Description and apply the correction as a credit, and the new encumbrance as a debit
    • Once the adjustments are made, run PGLT manually or wait for the scheduled task to run (every four hours)
    • Check AHST/ENCI and BINQ/PINQ to confirm the adjustments are correct
    • Once the corrections are confirmed, wait until the data warehouse updates to check the Budget Inquiry report
    • If the encumbrance is not corrected, submit an Admin IT support request for a follow-up backend fix or review
