This service provides faculty and staff with a centralized way to request or renew specialized software licenses at Sacred Heart University. Using the online request form, users can select from a list of approved applications, view license details and costs, and submit their request for supervisor approval. Once approved, requests are routed to IT Procurement for processing to ensure all licenses are properly managed, supported, and compliant with University standards.

How to Request a Special License

1. Access the Special License Request Form via the form at the top of this page.
2. Log in with your SHU credentials. 
3. Choose your software, add justification, and include the appropriate general ledger account number.
4. Submit for supervisor approval.
5. Once approved by your supervisor, a ticket will be created in the IT Self-Service Portal.
   1. You will have access to the ticket by using the "View My Tickets" link.
   2. You can request an update on the status of the request by adding a comment to the ticket.
6. Once the license has been procured it will be assigned to the requested user
7. The requestor will receive an email with any instructions needed to access the appropriate tool.

Security & Compliance

All SHU-approved licenses are configured within secure, university-managed environments and comply with data-protection policies.

• Do not use public or free versions for university work.
• Copilot Enterprise is approved for sensitive data (FERPA/PHI).
• ChatGPT EDU is approved for general academic data but not PHI, SSNs, or financial records.
