How to Troubleshoot the Batch Grade Change Update Process (BGCU) in Colleague

Running the BGCU process with different Grade Schemes can cause the process to appear to not select records.

Batch Grade Change Updt (BGCU)

There is a scenario where the Batch Grade Change Updt (BGCU) process does not find any records although the selection criteria on the front end screen appears correct. The problem can occur when the program is run twice...once for one grade scheme and once for a different grade scheme.

Sample scenario:

1. Run the program for the first grade scheme, SHUG
Entered the following on the screen:
Grade Scheme: SHUG
Original Grade "I"  Replacement Grade "F" 

2. Re-enter BGCU, change the grade scheme to SHGR but do not
enter data into the grade fields (since visually these appear to be
okay).

The selection is not executed, so the underlying data remains unchanged.  The reason this is happening is because the grade codes of I and F in the SHUG grade scheme have a different key than in the SHGR grade scheme.  The selection query for this process is using the key to the file instead of the actual grade code.

DATATEL RECOMMENDED WORKAROUND:

Once the process has been run successfully for the first grade scheme:

  1. Go back in to BGCU, enter the next scheme on the Grade Scheme field.  
  2. Delete the grade values in the Original Grade and Replacement Grade fields on BGCU and re-enter them.
