How to Complete Online Registration Checklist for Registrar in Colleague

After the Current Semester Add/Drop Period Ends

  1. Add the APTR restriction for the next term to all Undergraduate students and select Graduate students

One Month before the Event

  1. Determine dates for online registrations
  2. Coordinate with Admin IT to confirm the RYAT (Reporting Years And Terms) screen is set accordingly based on schedule
    • update start and end dates on the reporting term and the individual terms
    • update the start date on any rules assigned to the term
  3. Assign registration priorities
  4. Review RGWP (Registration Web Parameters) and RGSP (Registration Self-Service Parameters)
  5. Prepare mail merge with specific registration dates and times to send to all students
    • Waiting on Ellucian to fix the bug to show the correct registration dates and times to students in SPA
  6. Edit rule in RGCT to reflect appropriate document ID and agreement period 

Two Weeks before the Event

  1. Request Admin IT to turn on the Advisee Needing Advisor Approval report subscription
  2. Request Admin IT to update Global message on SPA​ as needed
    • ex: Online Registration schedule and guidance

Week before Event

  1. Remind SFA to run the PowerFAIDS to Colleague import earlier so they do not lock records or cause sluggishness of registration
    • job must be completed before 6:45 am
  2. Review Troubleshooting Wikis for a refresher on how to respond to inquiries

Day before Event

  1. Resolve time conflicts with course sections
    • Run RSMD (Rebuild Section Meeting Dates) to resolve any possible time conflicts
    • Ask Admin IT to recycle the app pools for immediate resolution
       

Day of Event (during Registration)

  1. Run the "Initial Registration Breakdown by Class" report in the Registrar's > Live Data folder to monitor the progress of registrations (Registrar)
  2. Manage requests to allow for more than two online courses as exceptions
  3. After the last group start time, reassign registration priorities as required
